ACRES Land Trust may cancel or modify events when conditions compromise the safety of participants, volunteers, or staff. These guidelines outline the circumstances under which events will be cancelled, the method of notification for participants, and the measures to be taken when advance notice is not possible.

Communication

  • When advance notice is possible, staff will notify registered guests by phone or email.
  • If conditions change too close to the start time to provide advance notice, on-site staff or volunteers will greet arriving guests and explain the situation.
  • The cancellation will be posted on the ACRES website event calendar and on social media.

Triggers for Cancellation

Event lead staff are responsible for monitoring weather forecasts and travel advisories in the lead-up to events. 

  • Road Conditions: Indoor and outdoor events will be cancelled if the county in which the event is held is under an orange or red travel advisory at the time participants would reasonably be travelling.
  • High Winds: Outdoor events held in forested areas will be cancelled if sustained or gusting winds are forecast or observed above 30 mph during the event window.
  • Storms: Outdoor events will be cancelled during active thunderstorm, winter storm, and tornado warnings that affect the event location.
  • Extreme Temperatures: Outdoor events will be cancelled if an Excessive Heat Warning or Wind Chill Warning is in effect at the event location.
